Detailed instructions on how to schedule tasks in TickTick
If you've heard of TickTick before, there's probably a good reason for that. TickTick is a powerful task management app with advanced capabilities to organize your tasks efficiently.
Getting started with new software can be daunting. That’s why it’s worth having a dedicated guide to help you get the most out of TickTick. You don’t need to clutter your desk with sticky notes to stay organized; here’s how you can organize your tasks with TickTick.
The sidebar provides quick access to TickTick's main features. You can access them at any time by swiping right on the home page. There are two types of lists: Smart lists and regular lists. Examples of smart lists include Today , Tomorrow , and Inbox . TickTick automatically sorts new tasks into these lists, saving you the trouble.
Some lists are hidden by default, which you may want to enable. To add a list to your sidebar, tap the settings icon in the lower right corner. Then, swipe to Smart Lists. Now you can toggle which lists are visible or hidden. Swipe again to get to Tags . Here, you can manage existing tags or add new ones by tapping the plus (+) button.
2. Create lists and folders
TickTick offers a neat way to structure your tasks using lists and folders. To add a new list, navigate to the sidebar and tap Add List . Give the list a name and color and you're good to go. You can also set an icon by tapping the three lines next to the List Name field .
Folders are higher levels of storage that you can use to group similar lists. For example, you can group your shopping list and your household tasks into the “Admin” folder. If you have multiple lists you want to group, hold and drag one list onto another to create a folder. To keep your sidebar organized, you can collapse and open folders by tapping them.
3. Add new task
TickTick's flexible approach to task management is why it's one of the best to-do list apps for Android and other devices. You can set task due dates and recurring reminders, add tags, and set priority labels.
To add a task, tap the plus (+) button from the home page. Then, enter a task name and add a description (if needed). Below the Description field , tap the icons to set a due date, add a tag, and set a priority.
For more details, you can tap the full screen button to the right of the Name field . Tap the three dots in the upper right corner to access additional options, including adding a location, attaching files, and converting the task to a note. From here, you can add subtasks that you can use to create a work breakdown structure.
4. Use keyboard shortcuts to speed up your workflow
Smart Recognition is one of TickTick's many hidden productivity tricks. It recognizes dates, times, and other attributes in text formats. By typing the following shortcuts, you can set attributes for tasks in less than a second:
Enter “!” to specify priority.
Enter “#” to add a tag.
Enter “~” to assign a task to the list.
Another hidden trick is to press and hold the plus button to enter tasks using voice commands. Voice input also uses Smart Recognition, so you don't have to set up the details manually.
5. Organize and group tasks
After using TickTick for a while, you may find that tasks accumulate, making the list harder to manage. Thankfully, TickTick offers a solution to manage overflowing lists with advanced grouping and sorting features.
To sort tasks in a list, tap the three dots in the upper right corner. Tap Sort to access sorting and grouping options. You can group tasks by due date, title, or priority. To change the order of tasks in a group, use the options under the Sort By heading .
To keep your list neater, you can tap the Hide Completed option to remove completed tasks from the screen. You can also control how much information is displayed by tapping the Show / Hide Details button , also located in the three-dot menu.
Organizing and prioritizing tasks will give you a clear picture of what needs immediate attention and what can be done later. This will help you avoid doing things in the wrong order and wasting time.
6. Using Eisenhower Matrix
Among all the treasures of TickTick, you can prioritize tasks using Eisenhower Matrix with its dedicated feature. This feature is not displayed by default, so you will need to enable it manually.
To enable the Eisenhower Matrix feature, go to Settings , then tap the Tab Bar option . Here, you will see a list of features that are turned off and on. Tap the plus (+) icon next to the Eisenhower Matrix option to add it to the tab bar. You can now access it at any time by tapping the flower icon in the bottom panel of the home page.
TickTick's priority labels are synced with the Eisenhower Matrix system, so you don't have to add tasks manually. You can edit the look of the matrix by tapping the three dots in the upper right corner and selecting Edit .
7. Complete missed tasks
Unless you're a robot, there will always be tasks that you don't complete from time to time. To help you get them done, TickTick offers the ability to reschedule all your tasks in seconds.
The Plan Your Day feature shows you all your missed or due tasks, which you can tackle one by one. To access it, go to the Today tab and tap the small circle icon in the upper right corner.
For every task that appears, you have the option to mark it as complete, move it to tomorrow, or push it to the next day. You can also delete a task if it's no longer relevant. Now, you can complete your tasks in just a few simple steps.
